Job Title: Full-Time Operations Assistant

Location: Hybrid

Job Type: Full-Time

Compensation: $38,000 – $42,000

Position Overview:

As an Operations Assistant, you will play an integral role in supporting the smooth operation of our group tours. Reporting directly to the Head of Operations, you’ll help manage the behind-the-scenes logistics that keep our tours on track, while gaining experience that can lead to a future role as a Tour Operator. We’re seeking someone who’s passionate about travel, highly organized, and eager to contribute to a growing team.

Key Responsibilities:

Administrative Support

  • Support the Head of Operations in day-to-day administrative and operational tasks.

Tour Planning & Coordination

  • Assist with gathering and organizing information to finalize custom itineraries tailored to client needs and educational goals.
  • Collaborate with the proposal writing team to finalize trip details and review proposals.
  • Help coordinate bookings with hotels, transportation, restaurants, and attractions.

Operational Management

  • Prepare and distribute itineraries, travel documents, and other materials to clients, vendors, and tour guides.
  • Assist the Head of Ops to address any on-the-ground issues during tours, ensuring timely resolutions and high customer satisfaction.
  • Maintain accurate records of bookings, client correspondence, invoices, and payments.
  • Track expenses, assist with budgeting, and help reconcile invoices.
  • Document tour performance and client feedback to enhance operational efficiency.

Customer Service

  • Provide exceptional service by answering client and vendor inquiries in a timely manner.

Team Collaboration

  • Work closely with other departments to ensure seamless coordination of tours.
  • Participate in regular team meetings, offering input for improving systems, workflows, and service delivery.

Qualifications:

  • Bachelor’s degree in Business Administration, Tourism Management, Education, or a related field preferred.
  • Experience in operations, event planning, or a similar administrative role is a plus—especially in the travel or education sector.
  • Strong organizational and multitasking skills with great attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with tour management software is a plus.
  • Self-motivated and able to work independently in a fast-paced environment.
  • Flexibility to travel and work irregular hours when needed.
